Board of Directors Meeting

June 19, 2018

Clubhouse – 3149 Bridgehampton Lane

7 P.M.

 

The meeting was called to order at 7 P.M. followed by the Pledge of Allegiance to our Flag.  Board members in attendance were Linda Smith, Nick Miokovic, Matt Inman, Tony Swiontek (7:30 P.M.), Janice Lancaster and Paul Anderson, CAM.  Brian Wade was unable to attend the meeting.  There were 2 additional attendees present for the meeting.

Received the following items in the Board of Directors’ packages:  Agenda, Meeting Minutes for May 15, 2018, Treasurer’s Report for June 19, 2018, Office Manager’s Report for June 2018, Delinquents & Foreclosure Report, 2018 Budget and Reserves Account Information, OUC bill analysis, Camera Replacement / Service estimate Security Center Networks, Front Door Clubhouse lock replacement information, Pool Operation Management certification program information, Financial Statements for May 31, 2018, and bank reconciliation worksheets for Money Market and Operating Accounts.

Meeting Minutes for May 15, 2018   

A motion was made by Matt Inman to accept the May 15, 2018 Meeting Minutes as presented; seconded by Nick Miokovic; 4 for; none opposed; motion adopted.         

Treasurer’s Report:

The Treasurer’s report was presented by Janice Lancaster for approval. 

A motion was made by Matt Inman to accept the Treasurer’s Report as presented; seconded by Nick Miokovic; 4 for; none opposed; report adopted.  

Manager’s Report

The Manager’s Report was presented by Paul Anderson for approval.  

A motion was made by Nick Miokovic to accept the Manager’s report as presented; seconded by Matt Inman; 4 for; none opposed; report adopted.    

 

 

 

Committee Reports:

ARC Committee Activity:   There were 14 ARC Requests for this month.  They were as follows:  7 Roofs; 3 paint house; 1 paint fence; 2 Fences; 1 replace sliding door.  

Lake/Landscape Committee Activity:     No report.  

Newsletter Committee Activity:  No post for June; send information for July as soon as possible.        

Tech Committee Activity:    Nothing to report.  

Social Committee Activity:    The BBQ / Pool party is on schedule for June 24, 2018 from 3 P.M. to 6 P.M

Declaration Bylaw Committee Activity:    Nothing to report.  

Clubhouse Interior Committee Activity:   Nothing to report.  

Compliance Committee Activity:   No report.      

Budget Committee Activity:  Input from each Director was requested to be sent to CAM as soon as possible.  Meetings will begin late July 2018 for the 2019 Budget development.  

Emergency Preparedness Committee:  Nothing to report.  

Old Business:     

Generator for Clubhouse  

A motion was made by Nick Miokovic to remove this item from the agenda as he will resubmit for the 2019 Budget; seconded by Linda Smith; 4 for; none opposed; motion adopted.   

New Front Door – No action at this time.   

New Cameras  

A motion was made by Nick Miokovic to spend up to $2,500.00 for updating the security cameras; seconded by Matt Inman; 4 for; none opposed; motion adopted.  

Dixie Bell Bryn Mawr Sign  

A motion was made by Nick Miokovic to remove this item from the agenda; seconded by Linda Smith; 4 for; none opposed; motion adopted.

Leak Doctor – pool area leak detection  

A motion was made by Nick Miokovic to spend up to $500.00 for Leak Doctor to identify possible leaks in the pool area; seconded by Matt Inman; 4 for; none opposed; motion adopted.

Purchase new Tennis Nets  

A motion was made by Linda Smith to spend up to $270 for two new tennis nets; seconded by Matt Inman; 4 for; none opposed; motion adopted.  

New Business:   

Ratify Kid’s pool repair – $524.26  

A motion was made by Nick Miokovic to ratify the kid’s pool repair of $524.26; seconded by Matt Inman; 4 for; none opposed; motion adopted.    

Ratify Kid’s Pool Phosphate treatment – $150.00  

A motion was made by Nick Miokovic to ratify the kid’s pool phosphate treatment cost of $150.00; seconded by Matt Inman; 4 for; none opposed; motion adopted.    

Renew Falcon Termite Inspection – $203.30  

A motion was made by Nick Miokovic to renew the contract with Falcon Termite for one year for $203.30; seconded by Matt Inman; 4 for; none opposed; motion adopted.    

Change out Lock System Front Door Clubhouse ($425.00 -$500.00)  

A motion was made by Nick Miokovic to spend up to $150.00 to obtain 2 to 3 additional quotes for replacing the lock system for the clubhouse front door; seconded by Matt Inman; 4 for; none opposed; motion adopted.     

7:30 P.M. – Tony Swiontek arrived.   

Pool / Spa Operator Certification for CAM – 305.00   

A motion was made by Nick Miokovic to approve $305.00 for Paul Anderson to attend the Pool / Spa Operator Certification course; seconded by Tony Swiontek; 5 for; none opposed; motion adopted.
