Board of Directors Meeting

July 19, 2016

Clubhouse – 3149 Bridgehampton Lane

7 P.M.

 

The meeting was called to order at 7 P.M. followed by the Pledge of Allegiance to our Flag.  Board members in attendance were Linda Smith, Nick Miokovic, Matt Inman, Janice Lancaster and CAM / Office Manager – Paul Anderson.  Tom Landon was unable to attend the meeting.    There was one additional attendee present for the meeting.

Received the following items in the Board of Directors’ packages:  Agenda, Meeting Minutes for July 16, 2016, Treasurer’s Report, Office Manager’s Report for July 2016, Delinquents & Foreclosure Report, Budget 2016, BBQ 2016 Report, Landscape Bids Pool Area,  Bid information for Tennis Courts resurfacing, 3 Bids Tree Trimming Lake Farrar, Clubhouse Reservation Form, 5 house models for Bryn Mawr, Financial Statements for June 30, 2016, Bank Reconciliation Worksheet, and the Schedule of Reserve Activity.

Received at the meeting:  Decorative Lighting Guidelines document and Outstanding Assessment Aging Summary.

A motion was made by Matt Inman to accept the minutes for June 21, 2016 as presented; seconded by Nick Miokovic; 4 for; none opposed; motion adopted.

  • Treasurer’s Report:

The Treasurer’s report was presented by Janice Lancaster for approval.

A motion was made by Matt Inman to accept the Treasurer’s Report as presented; seconded by Nick Miokovic; 4 for; none opposed; report adopted.

  • Manager’s Report

The Manager’s Report was presented by Paul Anderson for approval.   Paul discussed the issues with the new key card system and associated charges.  The system is still under warranty and any charges incurred should not be valid.  He is working with the vendor to resolve the issues.  For HOA assessments that are currently unpaid, the collection guidelines provide that the late fees will be added August 1st and appropriate notifications mailed to the homeowners.  Any account that is $600.00 or more as of August 1st, will be presented to the BOD for legal action at the next meeting.

A motion was made by Matt Inman to accept the Manager’s report as presented; seconded by Nick Miokovic; 4 for; none opposed; report adopted.

 

Committee Reports:

  • ARB Committee report was presented by Chairman Linda Smith.  There were 4 ARB Requests for this month.   They were as follows:  1 window replacement; 1 window and sliding door replacement; and 2 house painting.   Linda presented the Decorative Lighting Guidelines for review and approval.

A motion was by Matt Inman to adopt the Decorative Lighting guidelines; seconded by Nick Miokovic; 3 for; 1 abstained (Janice Lancaster); motion adopted.

  • Lake/Landscape Committee report was presented by Chairman Nick Miokovic.  The Yard of the Month award for August is for two properties; 3030 BH and 3406 CL.  Nick discussed issues with the current vendor.  He is working closely with the vendor and Paul to resolve issues as soon as possible.  Bids for landscaping the entrances at St. Brides’ and Bridgehampton are in the works.
  • Newsletter Committee report was discussed.  Paul has drafted information and forwarded to the Committee Chairman for review, update and publication.  As soon as the review process is completed, Nick will publish the document on the web site.  
  • Tech Committee report was presented by Chairman Nick Miokovic.  The new router replacement is still pending.  The Wi/Fi has been reset and is currently operational.
  • Social Committee report was presented by Chairman Matt Inman.  The June BBQ Report was reviewed.  The final cost for the event was $1,060.63.  There were 93 adults and 11 children that attended.
  • Declaration Bylaw Committee report was presented by Chairman Janice Lancaster.   There was no meeting held for July 2016; Nothing to report at this time.     
  • Clubhouse Interior Committee report was presented by Chairman Matt Inman.  Paul is looking into bids for having the clubhouse tile professionally cleaned.  Nothing else to report at this time.    
  • Fining Committee report – Nothing to report at this time.

Old Business:   

  • Pool Area Landscape Projects  

A motion was made by Nick Miokovic to spend up to $300.00 with Hoffner Landscaping and Nursery for a design proposal; seconded by Matt Inman; 4 for; none opposed; motion adopted.

  • Proposed Fines for Violations – Tabled    
  • Tennis Court Resurfacing Project 

A motion was made by Linda Smith to accept Advantage Courts for up to $9,250.00 for the Tennis Court Resurfacing Project;  seconded by Matt Inman; 4 for; none opposed; motion adopted.        

New Business 

  • Tree Trimming Lake Farrar

A motion was made by Linda Smith to accept the bid from A Cut Above Tree & Landscape, Inc. for $800.00 for tree trimming; seconded by Matt Inman; 4 for; none opposed; motion adopted.

  • Use of TV and Blue Ray Rentals – Clubhouse

A motion was made by Linda Smith to update the Clubhouse Reservation Form to include coverage of the cost to replacement the TV remote should any damage or loss occur during the clubhouse rental; seconded by Matt Inman; 4 for; none opposed; motion adopted.
