Board of Directors Meeting

February 21, 2017

Clubhouse – 3149 Bridgehampton Lane

7 P.M.

The meeting was called to order at 7 P.M. followed by the Pledge of Allegiance to our Flag.  Board members in attendance were Linda Smith, Nick Miokovic, Matt Inman, Tom Landon, Tony Swionteck, Janice Lancaster and Paul Anderson, CAM.  Brian Wade did not attend the meeting.  There were 3 additional attendees present for the meeting.

Received the following items in the Board of Directors’ packages:  Agenda, Meeting Minutes for January 17, 2017, Office Manager’s Report for February 2017, Delinquents & Foreclosure Report, Thank You Note from homeowner, All Phase Invoice 178161, All Phase light replacement cost – clubhouse, 2 Bids for Roof replacement clubhouse estimates / comparisons,  Clubhouse and Fence Painting bids and comparisons, BladeRunners bid for installation of soil new fence on Ashford Blvd., 2017 Budget Copy, Financial Statements for January 31, 2017, and the Schedule of Reserve Activity.

Received at the meeting:  Treasurer’s Report for February 21, 2017 and a third roofing bid for replacement of the clubhouse roof.

Minutes of previous meeting: Regular Meeting Minutes for January 17, 2017  

A motion was made by Tom Landon to accept the Meeting Minutes for January 17, 2017 as presented; seconded by Matt Inman; 6 for; none opposed; motion adopted.    

Treasurer’s Report: The Treasurer’s report was presented by Janice Lancaster for approval.

A motion was made by Tom Landon to accept the Treasurer’s Report as presented; seconded by Matt Inman; 6 for; none opposed; report adopted.

Manager’s Report: The Manager’s Report was presented by Paul Anderson for approval.  Paul reviewed manager’s activities for the past month.

A motion was made by Matt Inman to accept the Manager’s report as presented; seconded by Tony Swionteck; 6 for; none opposed; report adopted.  

Committee Reports:

  • ARB Committee report was presented by Chairman Linda Smith.  There were 5 ARB Requests for this month.  They were for 2 roof replacements, 1 house painting, 1 fence and 1 fence and walkway.
  • Lake/Landscape Committee report was presented by Chairman Tom Landon.  Discussion on the following items followed:  Nothing new to report.
  • Newsletter Committee report was presented by Chairman Matt Inman.  The following was discussed:  February’s newsletter has been posted to the web site; the March newsletter is pending.
  • Tech Committee report was presented by Chairman Nick Miokovic.  Review of the camera tapes identified that the same juveniles identified in the past for vandalism, were responsible for the pool chairs being put into the pool.  Paul to notify their parents and the property owner.  Nick is working on getting additional cameras for property security.
  • Social Committee report was presented by Chairman Matt Inman.  Nothing to report.
  • Declaration Bylaw Committee report was presented by Chairman Janice Lancaster.   There was no meeting held for February 2017; nothing to report at this time.
  • Clubhouse Interior Committee report was presented by Chairman Matt Inman.  Nothing to report.   
  • Compliance Committee report was presented by Tom Landon.  Tom has assembled guideline packets for the committee and has given them to all four members.

  • Ratify emergency inspection of electrical switch by All Phases $130.00   A motion was made by Linda Smith to ratify the All Phases emergency expense of $130.00 for electrical inspection at the clubhouse; seconded by Matt Inman; 6 for; none opposed; motion adopted.   
  • Replace side wall and rear lights at clubhouse – All Phases Bid – Tabled
  • Sherman Williams Painting Colors Update / Approval – Tabled
  • Roof Replacement Clubhouse

A motion was made by Matt Inman to select the bid from Rhyne Restoration for $9,280.00 to replace the clubhouse roof; color to be determined; seconded by Tony Swionteck; 6 for; none opposed; motion adopted.

  • Bids / Approval for Painting Clubhouse and Fences

A motion was made by Matt Inman to select Gillespie Painting, L.L.C. for a total contract of $3,150.00 ($1,200.00 fences and $1,950 Clubhouse); seconded by Tom Landon; 6 for; none opposed; motion adopted.  

  • Replace Soil – New Vinyl Fence Ashford Blvd. 

A motion was made by Janice Lancaster to accept the bid from BladeRunners for $1,070.00 to replace the soil around the new vinyl fencing to allow project approval/completion; seconded by Matt Inman; 4 for; 1 opposed (Nick Miokovic); 1 abstained (Linda Smith); motion adopted.  

  • Account to collections – $610.00

A motion was made by Tom Landon to send the account to collections for the amount of $610.00; seconded by Matt Inman; 6 for; none opposed; motion adopted.
